Operational Services are looking for an enthusiastic and organised Administration Assistant to join our busy team, providing essential administrative support to the Council's frontline services.
Based at the Council's Depot, you will support a wide range of services including Waste & Recycling, Fleet & Transport, Street Cleansing, Grounds Maintenance and Environmental Operations. No two days are the same, making this an ideal opportunity for someone who enjoys working in a fast-paced office environment where customer service and teamwork are key.
As one of the first points of contact for residents, businesses and colleagues, you'll play an important role in ensuring enquiries are dealt with professionally, efficiently and within agreed service standards. You'll also provide valuable administrative support to operational managers, helping to keep our frontline services running smoothly.
We're looking for someone who:
- Has excellent communication and customer service skills.
- Is organised, methodical and able to manage a varied workload.
- Has good IT skills and is confident using Microsoft Office applications.
- Can work accurately and pay close attention to detail.
- Is able to deal with sensitive or challenging enquiries in a calm and professional manner.
- Enjoys working as part of a team whilst also being capable of working independently.
- Is adaptable and willing to learn new systems and processes.
The Role
Your responsibilities will include:
- Responding to enquiries and complaints received via telephone, email, online systems, social media and in person.
- Logging, updating and monitoring customer enquiries using the Council's case management systems.
- Providing quotations and administrative support for the Council's Trade Waste service.
- Coordinating responses to missed collections and service requests with operational teams.
- Maintaining records, databases, spreadsheets and mapping information.
- Raising purchase orders for goods and services using the Council's financial systems.
- Providing administrative support to Operational Services Managers, including document management, processing records and supporting emergency response arrangements.
- Coordinating taxi testing appointments with Licensing and Fleet Services.
- Supporting reporting requirements and maintaining accurate operational records.
- Providing reception cover at the Depot, including answering telephones, greeting visitors and receiving deliveries.
- Supporting continuous improvement by maintaining high standards of accuracy, customer service and administrative efficiency.

Working Hours
The role provides office cover between **8:00am and 4:00pm, Monday to Friday**, based at the Council Depot.
