An exciting opportunity has arisen within the Business Services Team for committed and flexible individuals to provide efficient and effective administrative support. We have a centralised support function to deliver efficient, consistent processes and collaborative working across the council.
You will be joining a friendly team of experienced Business Services Assistants. This is a fast-paced, varied role where you’ll need strong organisational skills, adaptability, and the ability to meet deadlines in a changing environment. The team is based across 14 Children’s Centres, providing essential frontline business support to Family Help Teams, partner organisations and service users. As the first point of contact for each centre, they play a key role in ensuring the efficient delivery of services and a positive customer experience.
The roles are office based. The preferred working pattern for these roles will be discussed with successful candidates; however please state which location you are interested in on your application. (Buxton – 37 hours, Shirebrook, Swadlincote & Heanor – 18.5 hours).
Although each post has a designated base location, we are looking for candidates who can work flexibly and are willing to support colleagues at other local sites when required.
What you’ll be doing:
- Provide comprehensive administrative support to Family Help teams, ensuring accurate record keeping, document management, data entry and the effective processing of referrals, correspondence and service information to support service delivery.
- Act as a key point of contact for service users, partner agencies and professionals, delivering a professional customer-focused service via telephone, email and face-to-face contact, and ensuring enquiries are handled efficiently and appropriately.
- Coordinate and support operational activities, including arranging meetings, preparing agendas and papers, taking notes, monitoring actions, and assisting with the organisation of events and multi-agency activities.
- Maintain and process financial and performance-related information, supporting business processes through the accurate handling of orders, invoices, data reports, statistics and electronic systems while ensuring compliance with council procedures and data protection requirements.
What we’re looking for:
- Strong organisational skills and ability to prioritise.
- Someone who can provide a timely and confident response to professionals and clients via the telephone and other communication methods.
- Excellent IT skills (including Microsoft 365 suite) and confidence learning new systems
- Ability to work as collaboratively, willingness to learn and adapt to change
- Experience of working in a busy office environment.
- Clear communication skills – written and verbal
- Ability to interpret information and analyse data.
- Have an understanding of confidentiality, GDPR and Data Protection.
- Previous financial experience would be beneficial.
- Enthusiasm and transferable skills.
