Privacy Notice
This notice applies to information you provide to Derbyshire County Council who are the main partner organisation using this system. For details of other partner organisations' privacy notices please refer to the Bolsover District Council Privacy Statement.

How information about you will be used
Derbyshire County Council will use the information you provide to process your application to assist in making recruitment decisions, it may also be used to undertake statistical analysis on an anonymised basis.
In order for the Council to monitor the effectiveness of its Equality and Diversity Policy you are asked to provide information relating to age, race, disability, gender, religion/belief and sexual orientation in your equalities monitoring form. This information will not be disclosed to the recruiting manager or interview panel. The only exception is, where you indicate you are disabled, the recruiting manager will be informed to guarantee you an interview if you meet the essential criteria of the post. You do not have to provide this information.
The personal data we will be processing will be made up of the information provided by you in your application such as your name, address and suitability for the role, it may also include other documents necessary for the recruitment process for example interview/shortlisting notes, references, asylum and immigration documentation, results of medical, criminal records and other safeguarding checks and confirmation of membership of professional bodies and qualification certificates.
Where you are potentially the successful candidate, the referee you have provided will be contacted to give a reference.
Who we share your information with
Your personal data will be processed by the Council's Shared Services Centre, participants in the selection process (managers and those shortlisting /interviewing) and by our approved third party supplier, Giant Precision Limited.
We will not disclose your information to any party outside the Council or its approved suppliers, except to help prevent fraud or if permitted or required to do so by law.
How we look after your personal information
The Council takes data security very seriously. The system we use to collect data is hosted by one of our approved suppliers, Giant Precision Limited, who take the following steps to ensure your data is held securely:
- The hosting and data storage location is certified to the ISO27001 and ISO27008 international security standards.
- The connection to the website is protected using HTTPS which provides a secure, encrypted channel for private communications.
How long we will keep your information for
Unsuccessful and successful applicant data will be held securely within the recruitment system for a period of 12 months from the advert closing date before being deleted.
Successful applicant data will be used to open an employment record on the Council's human resource system when the appointment is made.
Your rights
In addition to the information provided to you above, as a data subject, you have a right to:
- Lodge a complaint.
- Have incorrect data rectified.
- Make a subject access request to obtain copies of information we hold relating to you.
